SharePoint is a digital centralised database where ‘live’ documents are stored. These documents can be viewed, edited, and shared across a group of users for collaboration purposes.
The why...
The risk of losing documents to the business because they are stored on an individuals desktop, laptop or email is too great. We need to make sure all our corporate documents are stored centrally and backed up. As well as storing the documents, SharePoint will allow for better collaboration between colleagues and departments as well as better controls, governance and assurance for the business.
The how...
To help locate and navigate the folder structure within SharePoint and to advise on what document should be stored in which folder, we have created the Common Filing Procedures document. This document is maintained centrally and can be located on SharePoint and lays out the file name, the SharePoint hub and area in which the file should be stored and the file pathway. It is important you familiarise yourself with this document before you start saving documents to SharePoint.
You can access SharePoint via the GMI Workspace. Under the News section, you will see several tiles with a left and right arrow. Click through the tiles until you find a tile called ‘SharePoint’. Click this tile to access the ‘SharePoint’ home page.
